Terms for using KOP recruitment, AI interviews, technical assessments and coaching services.

1. Scope and agreement

These terms govern use of KOP’s website and services, formerly known as Kwiks, including the recruitment platform, KOP Connect, KOP Interviewer, KOP Tech Interviewer and KOP coach. They apply to candidates, coaching users, recruiters, talent advisors and business customers, according to the services they use.

By using the services, you agree to these terms. If you act for a business, you must have authority to do so. A separately agreed service contract or order form takes precedence for the matters it specifically addresses. Nothing in these terms overrides rights or obligations that cannot be excluded under applicable law.

2. What KOP provides

KOP helps manage candidate profiles, recruitment campaigns, matching, scheduling, communications and assessments. KOP Connect supports recruitment services within the agreed scope. Interviewer and Tech Interviewer support screening and technical evaluation. KOP coach provides interview practice and feedback. Features, access and usage limits depend on the selected service and offer.

Unless expressly agreed otherwise, access to KOP does not guarantee an interview invitation, employment, a hire or a particular recruitment outcome. Coaching results and badges are practice feedback, not a professional qualification or an employment offer. Optional visibility or sharing from coaching depends on the user’s choice.

3. Accounts and responsible use

You must have the legal capacity or authorisation required to use the service. Provide accurate information, keep it reasonably up to date, protect your credentials and private session links, and report suspected unauthorised access. Business customers are responsible for authorising their users and managing their access.

Do not impersonate others, submit fraudulent profiles, harass or unlawfully discriminate, upload malicious content, access another person’s data without permission, bypass access or usage restrictions, or disrupt the services. Use integrations and APIs only within your authorised access and the applicable service limits.

4. Recruiter and candidate responsibilities

Recruiters and business customers must have the rights and lawful grounds needed to upload candidate information, invite people to assessments and share reports. They are responsible for their job requirements, recruitment communications, permitted use of candidate information and hiring decisions. Provide candidates with the information required for your recruitment process and handle requests concerning that process.

Candidates must submit their own information and work, except where collaboration or assistance is expressly allowed. Do not submit another person’s confidential information or an employer’s proprietary code without permission. Questions about a job, a hiring decision or an alternative assessment should be directed to the recruiting organisation; KOP can assist with platform-related issues.

5. AI and assessment rules

KOP uses AI to structure profiles, generate questions, conduct conversations and produce transcripts, scores, summaries, recommendations and coaching feedback. AI output may be inaccurate, incomplete or biased. Recruiters must review relevant evidence and exercise their own judgment rather than rely solely on a score or recommendation for a hiring decision.

Follow the instructions for each interview, including rules on external assistance, pasted code and full-screen use. Technical assessments may record integrity events and automatically end a session after accumulated violations under the assessment rules. Such events do not by themselves establish dishonesty or constitute a hiring decision. Report technical difficulties promptly to the organiser or KOP, and contact them to contest a result or request human review.

Review session information about microphone, camera, transcription and recording before starting. Contact the organiser if you cannot meet the session requirements or need an adjustment. Participation and recording data are handled as described in the Privacy Policy and any applicable recruitment notice.

6. Your content and intellectual property

You retain your rights in the CVs, documents, responses, code and other content you submit. You grant KOP permission to host, copy, process and transmit that content only as needed to provide the requested services, including producing assessments and making content available to authorised recipients. This permission does not transfer ownership of your content to KOP.

KOP and its licensors retain their rights in the platform, software, branding, documentation and assessment materials. Your access allows use for the agreed purposes; it does not authorise resale of the platform or unauthorised distribution of protected questions, reports or materials. Rights in AI-generated output remain subject to applicable law and any third-party rights; output is not guaranteed to be unique.

7. Plans, credits and payments

The offer accepted at purchase or the applicable service agreement specifies the price, currency, taxes, billing period, included usage and any additional charges. Any renewal terms, credit validity, carry-over rules and changes of plan depend on that offer or agreement. Free or trial access is subject to its stated limits. These general terms do not introduce a separate fee or a credit expiry period.

Cancellation, the end of paid access and eligibility for refunds are governed by the accepted offer or agreement and applicable law. Contact KOP with your account or order details for a cancellation or billing request. Closing an account, cancelling a subscription and requesting deletion of personal data are separate requests; specify which you need. Nothing here removes any mandatory withdrawal, refund or remedy rights.

8. Privacy and connected services

The Privacy Policy explains the information processed, its purposes, sharing, retention and your choices. The Cookie Policy explains website cookies and related technologies. Acceptance of these terms does not replace any separate consent required for optional processing.

Some features rely on connected services for communications, scheduling, payments or other functions. Separate provider terms may apply when you use their services. Availability can depend on your device, connection and those services. This does not reduce KOP’s obligations under your service agreement or applicable law.

9. Availability and service changes

Services may be interrupted for maintenance, updates or technical incidents. Any committed support levels or availability guarantees are set out in the applicable agreement. We may change features to improve operation or security, while respecting existing contractual commitments and applicable rights.

For material changes affecting an ongoing paid service, we will provide the notice and any cancellation or other remedies required by the applicable agreement and law. A website update alone does not override a separately agreed commitment.

10. Suspension and account closure

KOP may restrict access when reasonably necessary to address a security threat, unlawful use, a material breach of these terms or unpaid amounts due under the applicable agreement. Where practicable and lawful, we will explain the reason and provide an opportunity to resolve the issue. Urgent risks may require immediate action. You can contact KOP to ask for a review.

You may request account closure through the contact below. Any outstanding contractual payment or cancellation obligations remain subject to the applicable agreement and law. Closure does not necessarily erase all associated records immediately; retention and deletion are explained in the Privacy Policy. Contact us about access to your records before closure.

11. Responsibility and mandatory rights

Each party remains responsible for its obligations under applicable law and any agreed service contract. To the extent permitted by law, KOP is not liable for indirect or consequential losses arising from use of the services. This limitation does not exclude liability that cannot lawfully be excluded, or remove mandatory consumer rights and remedies.

If you experience a problem, contact KOP with the relevant service and details so we can investigate. This contact process does not prevent you from exercising your legal remedies. Any separately agreed governing-law or dispute provisions remain subject to mandatory protections applicable to you.

12. Changes to these terms

The date above identifies this version. We may revise these terms to reflect changes in our services or requirements. Material changes affecting existing users will be communicated as required by the applicable agreement and law, and acceptance requested where necessary. Changes do not retrospectively alter agreed orders or remove accrued rights.
